Privacy Policy
Last updated: September 18, 2026
This policy explains what information Podstrata collects, what we do with it, who else touches it, and what you can ask of us. It is written to be read, not skimmed past. If anything here is unclear, email contact@podstrata.com and we will answer plainly.
Podstrata is operated by Corpus Insights LLC, a company registered in Texas, United States. This policy covers our website at www.podstrata.com and the application at app.podstrata.com. Our Terms of Service govern your show's use of the product; this policy is part of them.
The short version
- We process the episodes your show points us at, and we keep the transcripts and analysis so your show can search and use them.
- Your show's data is private to your show. Nobody outside your show's own users and designated report recipients can see your transcripts, analysis, or reports, and nothing about one show is visible to another.
- We collect the minimum account information needed to run the product: your name, your email address, and details about your show.
- We rely on a small number of service providers to run the product. They are listed below, with links to their own privacy policies.
- We do not sell your data, we do not use it for advertising, and we do not let anyone train AI models on it.
- You can ask us to delete everything at any time.
Across the Dial Substack
Corpus Insights LLC also operates a Substack publication called Across the Dial. Across the Dial publishes AI-generated summaries and analysis of influential podcasts as a journalistic enterprise. All podcast data used by Across the Dial is separate from that of Podstrata, and vice versa. Your use of Podstrata does not inform whether or not your show is included in Across the Dial.
What we collect
Account information. When you sign in, our sign-in provider gives us your name and email address. We also record your role at your show (administrator or member), when you last signed in, and which release notes you have seen.
Show information. What you tell us about your show, including its name, the feed we should read episodes from, the names of your speakers, the email addresses that should receive reports, and any other details or preferences you enter in the product's settings.
Episode content. The recordings, captions, and metadata we retrieve from the feed you designate; the transcripts we produce from them; and the analysis, reports, and answers we generate. We do not keep the audio files themselves once an episode has been transcribed. Also anything you type into the product: questions you ask, drafts you submit for analysis, and prompts you save.
Usage information. Which pages and features are used, search queries, and errors, collected through an analytics service so we can see what is working. We also record IP addresses for rate limiting and abuse prevention, and our hosting providers keep ordinary server logs.
Payment information. When paid plans are introduced, a payment processor will handle your card details and we will keep only a record of your plan and its status. We will update this policy when that happens.
How we use it
- To provide the product: retrieving and transcribing episodes, analyzing them, making them searchable, generating reports, and emailing reports and notices to the addresses your show designates.
- To keep the product working and secure: rate limiting, preventing abuse, diagnosing errors, and keeping backups.
- To understand and improve the product, using usage information and, where we look across shows, only aggregated or de-identified data that does not identify your show, your speakers, or any individual.
- To communicate with you about your account and to answer your questions.
We do not sell your information. We do not show advertising, and we do not share your information with advertisers. We do not use your episodes, transcripts, or reports to train AI models, and we choose AI providers whose terms prohibit them from doing so.
Who can see it
Your show's users and report recipients. Only the people your show has given an account can see the show's archive, transcripts, and reports — no other show, and no one else. Reports are also emailed to any addresses your show's administrators designate, whether or not those people have accounts.
The public, only if your show chooses. A show administrator can turn on a public listing of your archive, which lets anyone search your episodes and see selected information about each one. It is off by default, and the product shows you what will be visible before you turn it on.
Companies that process your data for us. A small number of companies handle your data on our behalf. Each receives only what its job requires, may not use it for its own purposes, and has its own privacy policy, linked here.
- Your episode audio is transcribed by Groq (a speech-to-text and computing company, not related to Grok, the xAI chatbot). Groq does not use input data for training.
- Transcripts, along with the information you give us about your show, are analyzed by AI models from Anthropic as an API customer. Anthropic does not train models on API usage.
- Everything we store, including transcripts, analysis, reports, and account and show information, lives in a database hosted by Elastic. Elastic privacy statement
- The pipeline that retrieves and processes recordings runs on Amazon Web Services, so recordings pass through it during processing. AWS privacy notice
- Sign-in is handled by Kinde, which holds your name, email address, and sign-in activity. Kinde privacy policy
- The website and application are hosted by Vercel, so all traffic to the product passes through it. Vercel privacy notice
- Reports and account notices are emailed through Zoho ZeptoMail, which sees the recipient addresses and the content of what we send. Zoho privacy policy
- Usage information, search queries, and error reports go to PostHog, along with an identifier for your show. PostHog privacy policy
Retrieving episodes from a YouTube channel also uses Google's YouTube API Services, which see only the public listing of your channel, not anything about your show's account or users. Google privacy policy
When the law requires it. We may disclose information if required by law or legal process, or to protect the rights, safety, or property of our users, the public, or ourselves.
If the business changes hands. If Corpus Insights LLC is acquired or merges with another company, your information may be transferred as part of that transaction. We would tell you before that happens.
People mentioned in episodes
Episodes naturally mention people: guests, public figures, callers, a story from a host's week. We process those mentions as part of the episode, not as records about the individuals. We do not build profiles of people mentioned in episodes, and we do not use that information for anything other than producing your show's transcripts and analysis. Your show is responsible for having the authority to share its recordings with us, as described in our Terms of Service.
Where your data lives
Our systems are in the United States. If you use the product from elsewhere, your information is transferred to and processed in the United States.
How long we keep it
We keep your show's content and account information for as long as your show has an account. If the account is deactivated, we keep the archive for at least thirty days so that it is intact if you reactivate, and after that we may delete it. If a show administrator asks us to delete the account, we delete everything from our production systems within thirty days, and copies in backups age out on their normal schedule. Audio files are not kept beyond transcription. Details are in the Terms of Service under "Data Retention and Deletion."
Your choices
- Delete everything. A show administrator can email admin@podstrata.com and we will delete the show's account and all of its data. No questions asked.
- See or correct your information. Account information can be edited in the product's settings. For anything else, email us and we will show you what we hold or correct it.
- Leave an account. An administrator can disable any user's access, and a user can ask us to remove their account.
Cookies
The application sets a cookie that keeps you signed in, and our sign-in provider sets its own cookies during sign-in. Our analytics service stores a small identifier in your browser so it can tell visits apart. Our public website, www.podstrata.com, sets no analytics or advertising cookies.
Children
The product is for adults acting on behalf of a show, and we do not knowingly collect information from anyone under 18. Episodes may mention children, and we treat those mentions as described under "People mentioned in episodes."
Security
Information is encrypted in transit, access to our systems is limited to what is needed to run the product, and our providers are established companies with their own security programs. No system is perfectly secure, so we cannot promise that your information will never be accessed without authorization, but we will tell you if we learn that it has been.
Changes to this policy
When we change this policy we will update the date at the top. If a change materially reduces your rights or expands what we collect, we will email your show's administrators before it takes effect.
